WP 32 Cost/benefit data collection and modelling Meeting minutes: 28th June 2012

Actions from previous meeting

  • Important point to consider is the BENEFITS element of this WP. We need to be able to offer options for the future using the cost models. To be reviewed further [ALL] - O/S
  • Cost model template to be reviewed by all [ALL] - DONE
  • Word version of analysis template to be provided with a separate table for the mapping exercise [KK] - FIRST DONE, SECOND O/S
  • An email is to be sent to all consortium partners in order to start the request for cost data. Draft email to be sent all participants for comment [KK] - O/S

WP32 Year 2 updates

  • No responses needed to review report as WP32 not included
  • Text for Year 2 to include month by month summary to month 28 - KK to update AHM slides and present [KK]
  • Revision of WP objective:
    • It was agreed that the objective to 'Create models for the cost of preservation of digital objects' needed to be revised and that a request to change this objective should be submitted as part of the Year 2 plan
    • Following our initial analysis of cost models it was found that a number of models either published or still under development require further testing, validation and standardisation/comparison
    • WP effort confirmed

Cost model analysis template

  • DANS model - analysis completed and short answers provided
  • DNB model - analysis completed
  • KK to update template and re-issue for additional headings:
    1. Availability - Has testing been completed? Is the model available for use? If not, when will it be available?
    2. References - What other work was cited/referenced?
  • The answers provided in the template will be used for the following purposes:
    1. To provide information on the VCoE website so that users are able to be directed to relevant models for use
    2. To provide information for the first part of the deliverable report
  • KK to add above to beginning of template

Cost parameters mapping template

  • HT to provide table produced a couple of years related to this
  • KK to produce template to map to ISO16363 or OAIS to Reference Model

Collection of cost data

  • Email to be drafted. This may be specific to each model.
  • What data is needed from others?
    1. DANS - data which maps/fits easily to model and is based on OAIS modelled costs, projects/activities where overhead costs are known
    2. DNB - data specific to the headings provided by the model
    3. Generally, we could request funding proposals, historical project costs, HT mentioned the Royal Library may have some projects
  • KE workshop contacts - KK to contact directly to find out what testing data would be useful and who could test. Also, they may have data available which we could use
