Agenda (please add relevant items week by week)

  • PMB involvement in weekly MegaMeetings
  • Future all-hands meeting of the project
  • Status and action plans with dates for the deliverables
  • Gathering information on resources and partners' performance / common reporting structure
  • Extension of interval of the all hands megameetings - bi-weekly instead of weekly
  • GA in May
  • VCoE discussion

Suggestion for structure of monthly reports

  • Written report on the state of the respective WP.
    • No longer than one page.
    • There is no need to rewrite the report entirely every month. It can be updated. Of course the old versions need to stay available.

  • The report should encompass the following standardized information in form of a traffic light on the following issues:
    • overall state of the wp
    • state of each incomplete task/deliverable

  • Traffic light symbol
    • green = we're doing ok
    • yellow = we're having some problems/delays but can deal with them autonomously
    • red = we need help

  • Additionally empirical information concerning the WPs activity level should be provided.
    • This information should not be included in the short report but be an extra list/table in the wiki:
    • List of all project meetings (date and "Name", e.g. "weekly meeting") plus a list of the partner organizations who participated in the respective meeting.
    • More detailed information on the activity level should - if necessary - be included in the short monthly report.
