Follow-up from previous meeting and review of actions

Simon noted that there are a number of ongoing actions such as commenting on the glossary that are still in force.

Management update

Entry of Year 2 costs in NEF is in progress and Simon has been chasing partners where needed. The aim is to submit the cost claims and second year report along with the forthcoming deliverables, at the end of next week. All partners are asked to check their cost claims to make sure that the appropriate explanations of use of resources are given, otherwise the EC will bounce the cost claim and time will be wasted.

The PMB is preparing a document to send to the Project Officer that will react to a few comments about deliverables where we disagree with the reviewers, and explain how we will deal with Recommendation 5 about greater external involvement. The approach being proposed has three strands:

  • External reviewers for individual deliverables
  • Distribution of future surveys wider than the APARSEN consortium
  • WPs to make contact with specific projects in their area

Matthias Hemmje and Ruben Riestra are now acting stream leaders (and PMB members) for Streams 1 and 4 respectively. Simon will organise an email vote of the GA to ratify these positions.

Report on activities within streams, any issues arising

The focus was on the forthcoming deliverables.

Stream 1 Integration

Resubmission of D14.1 (Report on testing environments)

Ash Hunter is revising the deliverable which will be finished early next week. He had hoped for an interaction with the EC about what is expected, but this has not been possible. David pointed out that we did ask about the availability of running test environments from other projects and the answer is essentially that they are no longer usable. Ash said that we can do some things in the deliverable to show we have listened, but we want to look forward and not back.

Stream 2 Technical research

Resubmission of D21.1 (Overview of preservation services)

Simon will have the final version at the beginning of next week. He believes he has received all the contributions expected from other partners.

Preparation of D23.2 (Storage solutions analysis report)

Marcel reported that this deliverable will be ready for review at the end of this week.

Stream 3 Economic and legal research

Resubmission of D32.1 (Report on cost parameters for digital repositories)

No changes to be made - the additional material will appear in D32.2.

Preparation of D32.2 (Report on testing of cost models and further analysis of cost parameters)

Resubmission of D36.1 (Business preparedness report)

Revised version received from Ruben Riestra.

Preparation of D36.2 (Exemplar business cases for each of the stakeholder groups)

Kirnn reported that the final business cases are being assembled and Ruben is putting the conclusions together.

Stream 4 Spreading Excellence

Resubmission of D42.1 (Report on existing initiatives and curricula regarding digital long term preservation)

Holger reported that they are making mappings from the additional resources and also need to check the conclusions. It would be useful for a native English speaker to check the language.

Preparation of D44.3 (Interactive map of stakeholders in digital preservation)

This deliverable is of type OTHER but should be accompanied by a very short document. Gerald said that there is internal documentation but only to support the work and not for delivery. David said we need a few paragraphs about what happens after the end of APARSEN. Gerald is happy to provide this for the Year 3 review as it needs to be aligned with WP11. It was agreed that Simon will prepare a short document saying that we do have a "plan for a plan", and Gerald will provide text on what we think today.
