Management update

Preparation for AHM and GA meeting in Den Haag

APARSEN partners are invited to the APA members' meeting on Monday afternoon 2 December. This is important because the VCoE will be discussed there was well as at the AHM. Inform Krystina if you would like to attend.

Simon has circulated a template for the WP presentations at the All Hands Meeting, focussing on the VCoE and review. He reminded everyone that the M36 deliverables should be in a good state by the meeting. The agenda has been altered due to the availability of Matthias Hemmje and Ruben Riestra: Stream 1 and review preparation will now be on the first day.

Papers for the GA meeting will be circulated early next week.

Effort reporting for Year 3

Many partners have responded to the request for effort reports for the third year, but not all. Please send Simon the requested figures (see his email sent earlier today) urgently.

M36 deliverables, and particularly internal reviewers

There are still some deliverables lacking internal reviewers. Simon will start to nominate reviewers if there are insufficient volunteers.

Report on activities within streams, any issues arising

Stream 1 Integration

David reported that the common vision document (draft of D11.3) is well under way: feedback has been received and it is currently with Matthias Hemmje to check. Matthias expects to distribute it on Monday.

The business plan for the VCoE (draft of D11.4) has taken account of what was done at the various workshops over the last months, and is currently with Ruben for a business perspective. This will also be distributed on Monday.

David also mentioned the "training pills", which embody the common vision. Some volunteers have come forward, but not enough. He is talking to Sharon and Kirnn and they will nominate people with the required expertise.

For WP13, Andreas reported that they are talking to Presto and have discussed a cooperation agreement. He does not expect any problem with this. The next step is to define what activities to undertake together. Simon and David could both sign the cooperation agreement for APARSEN and the APA respectively.

Concerning the standards database, there is to be a follow-up call on the data model tomorrow morning. David will join this. There are ongoing discussions about linking the two registers. There is also a need to decide whether do joint events such as webinars.

Stream 2 Technical research

Simon is requesting additions to preservation services for D21.1. He is also in contact with the DCH-RP project which has its own registry of services and is keen to collaborate with APARSEN.

Maurizio noted that WP22 is the only Stream 2 WP active in the fourth year. He has proposed an approach for all Stream 2 WPs at the AHM. He expects the WP leaders to emphasize their final results and how they will be used by the VCoE, and what cooperation has been established with other projects. He also stressed the importance of making specific reference to the common vocabulary.

David agreed that relating WPs to the common vision is important: we do need to be clear about the WPs' legacy in the context of the vision.

Stream 3 Economic and legal research

Sabine reported that both WP31 and WP35 seem to be on course with their deliverables, and both have external reviewers lined up.

Stream 4 Spreading excellence

In WP42, a workshop took place with regional stakeholders (in Germany) in formal qualifications and a report is being written. Holger is also attending a DPC planning day next week and hopes to validate findings and discuss the needs of particular communities.

John is working on preparing deliverable D41.2.

Manuela reported that she is working on D44.4: some contributions have been received and are being edited together. She urged everyone to keep the records of publications up to date at

There is some overlap between D44.4 and D41.2. The latter should contain anything relating to communications.

The next APARSEN webinar is on 9 December, on audit/certification of repositories.

The sustainability training event will take place in Den Haag on 10-11 December, the week after the AHM/GA. More participants are needed! Currently seven are registered, with a few more expected.

Any other issues

Krystina announced that there will be an APA conference in Brussels on 22-23 October 2014.
