Review meeting February 2012

The review meeting will take place on 2-3 February, with a rehearsal on 1 February. The venue (also for the rehearsal) is confirmed as room 278 in Euroforum building, 10 Rue R. Stumper, L-2557 Gasperich-Luxembourg.

The reviewers will be Steve Knight (National Library of New Zealand), Marc Fresko (INFORESIGHT), Perla Innocenti (University of Glasgow).

A PowerPoint template for the presentations will be made available soon.

Review of notes from previous meeting

The previous meeting had a focus on the review and administrative matters so all issues are covered later.

Administrative matters

Consortium Agreement

Simon reported that almost all signatures have now been confirmed though one or two have not yet been received on paper.

Effort reporting

Simon emphasized the importance of bringing up-to-date the effort reporting on the management website. This is needed to allow meaningful figures to be reported at the review.

First year reporting including cost statements

There is a problem with the NEF system: there is no link to access the Form C section of the system. This means that costs cannot yet be entered. Simon is following up with the EC.

Denise Small will be assisting Simon with assembling the required information for the first year reporting.

Simon reminded everyone that the costs claimed for the first year must be justified against effort spent and work done.

It is very important that leaders of work packages active in the first year send short (up to one page) reports for inclusion in the project's first year report. So far Simon has only received two! See ApanFirstYearReporting for a list of what is expected, and an outline of the report. A deadline of 17th January was set for submitting a good draft of the first year report to the reviewers.

The deadline for releasing the M12 and M14 deliverables to the reviewers is 15th January. These deliverables should be uploaded to the wiki page for the review and linked from the agenda, as has already been done in some cases.

If a deliverable is only to be released in incomplete form, or if it will only be discussed in the presentation without being released, the agenda should be edited to make this clear.

This is now available on the review page

D24.2 Implementation and testing of an authenticity protocol on a specific domain CINI
Silvio reported that this depends on action from the first deliverable so there will be no draft by 15th but he will address it in the presentation

D26.1 Report on strategy on annotation, reputation and data quality AFPUM
Hans Pfeiffenberger reported that this deliverable will not be available by the end of Feb, and he wants to shift it to the middle of the year.

D33.1 Final report on peer review and 3rd party certification of repositories AFPUM
This is now available on the review page

D43.1 Survey for the assessment of training material / Assessment of digital curation requirements DPC
This is delayed due to a dependency on the audit reports.

The Project Officer also wants a report on the audit/certification work (separate from D33.1); David is working on this.
