Review of notes from previous meeting

SL confirmed that the Project Officer agreed that the presentation at iPres can be charged to the project.

Review of Actions

Reminder for people to look at the actions that need to be completed.

Administrative matters

SL said they are finalising the submission of the Form C's for the end of the first year. We need to make sure that we minimise the number of queries from the EU by making sure that the costs are justified - this should be done on the on-line system. When you click on the box there is a pop-up that appears where you hvae to enter the explanatory text. SL sent out an e-mail last week reminding everyone to enter more information but there are still some partners who need to make sure that their costs are justified - the deadline is tomorrow.

Effort Reporting

Stream 1 Integration - Deliverables and Work Packages

WK invited each of the WP leaders to comment on their respective work packages.

WP11 - A lot of work is happening on the Common Vision in order to present something at the next GA meeting. DG has had some discussion with Hildelies Balk about IMPACT and has also had discussions about the Open Planets Foundation to participate in this work package. DG said we have had some good feedback from Hildelies.

There are two aspects of Common Vision:

1. The Virtual Centre of Excellence

2. The Research Agenda

Further discussions will take place at the GA and Face to Face Meetings in June.

WP12 - They have a good arrangement with AFPAM and DANS for the work in 2012 and have to get back to Trento about the question of their exchanges.

WP13,14,15 & 16 - have submitted their deliverables for Month 16.

Stream 2 Technical Research - Deliverables and Work Packages

Maurizio has circulated another e-mail but the participation was very poor. He feels the problem is the synchronisation between the other work packages and invited comments about this.

WP21 - SL is aware that the work package is late in starting and is arranging a Kick-Off for this very soon. It makes sense to do this work package as it will look beyond what SCIDIP-ES is doing.

WP24 is complete.

Stream 3 Economic & Legal Research - Deliverables and Work Packages

WP32 - the monthly reports using the 'traffic light' symbols configuration is working well.

WP33 - should be completed now that the reports have been produced.

WP34 - DG has taken over the lead for this.

WP35 - Not active yet

WP36 - has become more active again and they have produced an internal report and will have a meeting next week.

Stream 4 Sustainable Uptake - Deliverables and Work Packages

WP41 - There will be a meeting in Vienna in September and they have organised a workshop at this meeting. Will speak about standards and will approach partners about this and discuss at the PMB.

WP42 - has started and they are already working on this work package. There will be regular calls and the next one will be on Tuesday at 2pm.

WP43 - Nothing new to report

WP44 - Will work on this next week and get some support from KG for the logo and new design for the brochure and for all the other materials. DG and KG have given a lot of support in getting the brochure prepared. VP-Z sent an e-mail to request slides for the general powerpoint presentations.

ACTION:

ALL WP Leaders - please provide 2 slides for each of your work packages and text explaining the objectives and developments.

WP45/46 - On-going and waiting to hear back from Eefke.

* Planning for submissions to iPres *

DG suggested it would make sense to have a workshop to compare and address what each of the projects is doing in order to see how we could work together, including the VCoE. DG confirmed that the deadlines for both the workshop and long papers have been extended to the 25 May. Rene said he and John Lindstrom have been putting some ideas on the Wiki about contributions for iPres, one of the ideas is to present the results of the project via a panel followed by a Q & A session. Rene asked about how we want to prepare the programme for the meeting.

We have obtained a very good deal at the Mercure Hotel in Brussels for the three days - facilities include two break-out rooms - further details to follow shortly
