Minutes of Project Management Board meeting, 31st January 2013

Present: David Giaretta, Sabine Schrimpf, Veronika Praendl-Zika, WIlliam Kilbride, Maurizio Lunghi.

Issues arising from this morning's MegaMeeting on deliverable status

  • Veronika asked about the contacts for the RDA PI working group.
    • ACTION: David: send Maurizio contact details

Completion of DoW revision - what remains to be done?

  • William pointed out that D12.2 had been deleted
    • ACTION: David delete D12.2 from Deliverables page
  • William noted that he had emailed additional points to Simon about the budget justification
    • ACTION: David check with Simon about the email

Review preparations

Ruben pointed out that:
  • the P2 report must be engaging and give the reviewers the idea that the review will be interesting.
  • All the presentations (and deliverables if possible) must be consistent with the Periodic report's story.
  • We should identify weaknesses
  • meeting on March 1st should approve the P2 report before it is sent

ACTION: Simon ensure that the reviewwwers have the revised DoW

Some points WP leads should bear in mind - things that the P2 report should cover:

  • what has happened over the last year
  • What is unique
  • what are the rpobelms

Preparation of battle plan

  • ACTION: David, Simon, Ruben and Juan: by mid Feb prepare draft of the battle plan
  • Review this by PMB for a week
  • Review by everyone by a week
  • ready for approval for 1st March meeting

Meeting 1st March

  • meeting on March 1st should approve the P2 report before it is sent

General timetable for coming months (see ApanMasterplan)

We need to keep this updated and with further details.

We will not show this as it is i.e. a wiki page, but some appropriate way of presenting the information should be drafted.

Stream 1 lead

William sated that he could attend the review but could not attend the rehearsal - someone else (Sharon or perhaps Holger) should make the presentation .
