Minutes of Project Management Board meeting, 23rd May 2013

Outcomes of AHM and GA and next steps

Simon has produced a transcription of the output of the "Remembering the Future" workshop at the AHM. This is an exact representation of what was written on the sticky notes and will be raw material for further planning for the VCoE.

We need to send a response to the PO about the review report, where there is anything we disagree with. This will include WP14, WP32 (the coverage of benefits) and WP44 - though this last might be too detailed.

We also need to respond to the PO about our plans for involving external parties. Maurizio insisted on the need for cooperation agreements with other projects, to be as concrete as possible. We should also have a membership agreement to allow expansion of the APARSEN "network" (not the project of course).

Maurizio has sent a draft of a cooperation agreement. Veronika has started to get agreement on communication using website, newsletters etc.We need something very specific for planning. Initial candidates are EUDAT, SCIDIP, SCAPE, PrestoCentre, OPF and the RDA. EUDAT and SCIDIP say their services will continue, and we should think how to extend that so they can include it in their planning.

David raised the issue of rights management for training material, if we record courses. It will be useful to ask PrestoCentre for their experience. It needs to be possible for the APARSEN VCoE to continue to use this material, even when the originating projects have come to an end, and this has implications for who we make the agreements with.

Responsibilities and processes in integration of topics

At this morning's MegaMeeting, the question of specific planning for integration of topics arose. Simon suggested using a simple questionnaire at the end of each WP, and this was agreed. Veronika suggested that WPs could produce a list of recommendations for the future, and also services/training/consultancy for the VCoE.

Another aspect of integration is the topic as a whole: for example, how does audit and certification fit with data quality? Veronika proposed using a digital object lifecycle model to map our own work in this respect, and this seems a good idea. The scenarios will also have a role to play in integration.

Any issues arising per Stream

Concern has been expressed about ESA's management of WP23. Simon already has an action from the General Assembly meeting to ask formally about ESA's low effort booking, and he will also enquire about the impact on delivery of WP23.

Any other issues

Maurizio had sent an email proposing to shorten the timeline in the common vision methodology. Specifically he wants to bring the first vision statement forward to allow more exposure. If this is possible then of course it is desirable; the methodology commits us to dates that we must not slip, but if effort permits then they can be brought forward.
