Minutes of Project Management Board meeting, 27th June 2013

Present: Simon Lambert, David Giaretta, Matthias Hemmje, Maurizio Lunghi, Veronika Praendl-Zika.

Follow-up from previous meeting and review of actions

Memorandum of Understanding following DCH-RP workshop, and cooperation agreements with other projects

  • VPZ: the spreading excellence group thinks the DCH-RP MoU would be a good thing for us, even if not very specific
  • DG: it is easier for projects to sign rather than organisations
  • ML: we should take the initiative in setting up cooperation agreements with important projects
  • MH: we should always have a good reason for signing such agreements: are we complementary, will we obtain extra coverage? The stream leaders or WP leaders should declare an interest in cooperating with particular projects.

WP leaders will then be asked for their interest in participating in the agreements.

Formal response to PO about review report, and about involving external parties (Recommendation 5)

SL still has to rewrite the introduction explaining why we are only replying to a few points. The response about D14.1 must be consistent with the revisions that Ash Hunter is making to the deliverable.

Results of VCoE workshop and and consequences for other streams

Matthias summarised the VCoE workhop held on 21st June for the benefit of the stream leaders who did not attend it.

The workshop discussed how to bring the VCoE/common vision into the next deliverables due at M36. The VCoE in WP11 has now developed a clear understanding of the position of APARSEN within the overall market of DP service providers. There will be two types of member: service providers and service consumers. The VCoE will mediate offerings and demands. We can start to define a business plan for the VCoE based on service offerings from either particular organisations or from collaborations within WPs. So we will ask organisations and WPs whether they want to identify services that could be provided for the portfolio.

We also need to show the environment in which the VCoE operates (SWOT and PEST analyses), and develop the economic side of the VCoE. Krystina Giaretta has started work on this. Finally WP11 also has to establis the relationship with the common vision activity. The VCoE will cover some costs from membership fees but also a return from brokerage fees.

This work will be a priority for the next six months, leading to the "soft launch" of the VCoE.
