Minutes of Project Management Board meeting, 12th September 2013

Follow-up from previous meeting and review of actions

Simon has spoken to Manuela Speiser about the next contract amendment. She is sympathetic to the idea of introducing Centrica to replace FRD. Maurizio confirmed that Centrica is already registered in the EC system. The next step is for Maurizio to write a statement of the capabilities and resources of Centrica to carry out the work. Other PMB members will assist.

Simon also needs to expand in the Year 2 report on "concerns" with underspending parters.

Progress and next steps with common vision and VCoE

Matthias summarised that the common deliverable D11.3 exists in an incomplete draft mainly written by David, Matthias and Ruben. We now need to establish weekly meetings in the slot on Thursday formerly used for WP32 meetings.

For the VCoE, we need input from WPs and partners about what services they envision to exploit through the VCoE. Krystina Giaretta has produced such a questionnaire. Initially this is just for planning, without formal commitment. This is complementary to asking WP leaders for input to the common vision: these can be seen as the supply side and the demand side. We could also ask external experts for their views on the vision.

Specific steps:

  • Send Krystina's questionnaire first to the PMB then to all
  • Simon will produce a template asking for inputs to D11.3
  • Circulate draft D11.3 and the template to all
  • Establish the MegaMeeting on Thursdays

Maurizio asked about the relationship between these services and WP21. These services are at a higher level (such as training), though of course the list will be cross-checked against services identified in WP21. There are also lists of services produced in the previous VCoE workshops. Maurizio expressed concern about the delay in progressing the common vision, given that we are committed to producing a first version by the end of September. However the questionnaires for input will not be asking for anything complex.

Cooperation with other projects

The iPRES conference led to some useful contacts. Simon met Peter May (SCAPE technical coordinator) and discussed possible modes of cooperation. David had contact with PrestoCentre, and APARSEN has been invited to present on cost models at the EUDAT conference.

Timetable and content of sustainability brochure

Krystina Giaretta sent an email with a proposed timetable for producing the sustainability brochure. Ruben volunteered to mobilise the concerned WP leads and liaise with Krystina.

WP42 and WP43

Matthias said that WP42 now needs to have its curriculum validated. Meanwhile WP43 is producing training material, but this is not related to the curriculum of WP42. He proposed to send a questionnaire to a representative group of experts to comment and say what is missing etc. We could also consult the APARSEN members to validate the curriculum.

There was also a discussion of how to develop some of our own training content quickly. David suggested video presentations on specific areas; these could be used to populate the Moodle prepared by Globit. Maurizio suggested recordings of the APARSEN webinars as a basis for training material.

We should ask Manuela Speiser for a list of projects to ask for validation and information on what they are doing. Maurizio referred to the DigiCurv project, which took its framework from the American DPOE initiative.

We need a task force to define learning goals and course content. Matthias suggested to target one or two mini-courses with the Globit platform to show feasibility.

Potential contributions to "Aligning National Approaches to Digital Preservation: An Action Assembly"

Maurizio said that this event will take place in November in Barcelona. It is at a very politcial level. It could be a good opportunity to sell our politicial activities, not technical. Maurizio was coordinator of a session on economic sustainability in Tallinn so this could be of interest.
