Minutes of Project Management Board meeting, 26th September 2013

Present: Simon Lambert, Maurizio Lunghi, Sabine Schrimpf, Ruben Riestra.

Follow-up from previous meeting and review of actions

Simon sent a summary of the review comments about the website. Ruben argued that for the next review we need good statistics on web usage. The website is not our major channel for interaction with the community: that is the interactions that consortium members have. He noted that APARSEN had a high profile at TPDL.

Ruben is planning a Stream 4 meeting to coordinate, and Kirnn is trying to reestablish website working group meetings. Simon confirmed that there will be a face-to-face meeting of the working group in Den Haag on 6th December, but we to do more before then. Maurizio urged concrete and pragmatic measures to enable easy upload of material on the website, and Sabine agreed that it should be possible to upload current material (such as workshop slides) quickly.

Meeting in Den Haag in December: plan for each day

There have been several suggestions for activities not directly related to APARSEN during the days of the meeting in Den Haag. Ruben said we should focus on APARSEN's priorities and organise the agenda around that; he would expect to see sessions on the battle plan for the review, topics/streams, the VCoE and common vision.

Nonetheless Marcel's offer of a session with the Dutch digital preservation group is welcome, and would be a good way of bringing together their demand with our supply and validating our offerings.

Production of common vision statement

Simon has produced an integrated draft of the common vision deliverable based on contributions received up to yesterday afternoon. Ruben sees the common vision as being a powerful driver for the AHM, to obtain buy-in.

Simon will contact the missing WPs to press for their contributions. The plan is still to send Manuela Speiser the draft deliverable on 30th September.

Sabine asked how to get a really persuasive "public vision" from the draft deliverable, and suggested hiring a professional writer, or using the services of in-house media services. However this would only be needed for the final version, not the intermediate versions.

Sustainability brochure

Ruben is working with Krystina on preparing an editorial line for the brochure. this is nearly finished and he will then contact the WP leaders to contribute.

Next contract amendment

Maurizio reported that Centrica will be unable to participate in APARSEN owing to cash flow problems with EC funding. However FRD will be able to continue to the end of the project, even if project work is no longer their core business. So this part of the contract amendment will not be required.

Cooperation with other projects

No discussion.

Any other issues

Sabine pointed out that the monthly check of the risk register is not taking place.
